 Template on a shared drive
Hi, Using Word97/Win95 or NT. Yesterday, I was asked to create a Word template that would be placed on a shared drive used by offices existing in two states. This template is supposed to offer the option of choosing one of four addresses to be placed within the body of the form letter. Working on learning Access VBA, but no experience in Word beyond the surface. Today, I discovered www.mvps.org/word - which looks to be a wonderful resource - but, before I even dive into totally unexplored waters, I wonder if a template stored on a shared drive would be accessible though the New/Template file selection on the various user's computers? Any advice would be so gratefully received! TIA, Pam

Hi Pam, Yes, a template on a shared drive can be visible on the File New menu. Did I mention I was new to posting? Profuse apologies - seems I must have hit the "Reply" button last night instead of "Reply Group". Sigh, in any case, here is the reply I meant to send here last night. Again, very sorry. Hi Jonathan, Thank you so much for your reply! I'm new to asking - old to reading - the groups - and very new to here! Much to my surprise, with help from many sources, I was able to achieve what was asked - template-wise. My one last worry was the issue of whether or not a template on a shared file would open as a copy or the .dot file itself. I even sent out an SOS to my son - programmer extraordinaire! - who suggested I make the file "read only". Now that's something I never thought about - have checked that out when I couldn't open something, but failed to make the leap forward. Your solution is so elegant! Definitely the way to travel. One problem though, I think in my quest for knowledge I must have corrupted my template file - I seem to have most everything on my "General Tab" - though the same templates also remain on the tabs to which they belong. Dare I ask if you have a magic bullet for this as well?! Again, thank you so much for your time. Been working on this since 4:30 AM today - not to mention time last night - and SO happy to have a solution. You are awesome! Pam

 Template on a shared drive
It sounds like you changed the wrong entry under Options File Locations. There are two entries there: User Templates & Workgroup Templates. In our office we have the User Templates set to each local workstation and the Workgroup Templates set to a shared sub-directory on the network. Here's another hint, if you add subdirectories under the applicable directory, each one will become a Tab on the File New dialog box! Quote:

 Template on a shared drive
Hi David, Actually, thanks to a pointer from a very special kind person, I did learn that trick, and I do have a new tab containing my templates - at home anyway. I haven't as yet been mapped to the shared drive, so the true test is yet to come. I do thank you very much for that input though! My problem was that the general tab contained all manner of templates and docs. Two problems there I have resolved as I started writing this with the intent of listing what I was viewing there. The first is that I had copied numerous tips from my Internet research, and guess where I stored them! Yes, sigh, within the folder containing my folder of new templates! The second problem I just resolved with a file search which indicated two more templates were stored within the Templates file. To me, this meant Programs\Microsoft Office\Templates, yet, even making sure hidden files would show, they weren't there. Another look at the file search cleared that mystery - they're in Windows\Application Data\Microsoft\Templates. The first was seriously dumb, the second was a new discovery! Although the project I'm working on is for Word 97 to be used on Windows 95/NT, my home computer where I was working on this project is running Windows 98 2nd with Word 2000. Before all this, I'd never been into the templates at home, so I don't even know what should be on the general tab. After resolving problems one and two, I now have "Blank Document", "Web Page", and "E-mail Message" - does this sound correct? It sure looks much better! Again, thank you so much for your reply. Got another one for you. You only get 2 folders for your templates. User templates in one folder (and subfolders there of) and workgroup templates in another. You can put templates anywhere, you just cannot get them into the File New box unless they are in those 2 folders or subfolders thereof. BUT. If you have a template lying around somewhere else, double clicking on it from Windows explorer usually gets you a new file based on the template. This may help you get around company policies regarding locations for workgroup templates.

 Template on a shared drive
Although I had tried that - opening through Explorer - I found sometimes the template would open and sometimes a copy. I know you can (on Win 95) request a copy through the sort cut menu (New on Win 98), but I can't count on my office mates doing that. My son had a suggestion that I should have thought of myself - changing the file to "Read Only" forces the saving of a new copy thus preventing the original from being corrupted. Actually, the wait at work seems to be based on more docs being developed. Once they are, I can add the code, convert them, and, hopefully, then be able to put them all in a subdirectory on the shared drive. As of now, for this project, I'm just waiting . . .
